Otter.ai is a real-time AI transcription platform that provides live captions during meetings with speaker identification, automatic slide capture, and AI-powered search across your meeting history. OtterPilot joins Zoom, Google Meet, and Microsoft Teams calls automatically.
We tested Otter across team standups and cross-meeting search. The live transcription is the defining feature. Unlike every other tool on this list that delivers value after the call, Otter’s value is visible during the call. Words appear on screen as they’re spoken. Speakers are identified and labeled in real time. You can highlight a sentence, add a comment, or tag a colleague while the conversation continues. For meetings where you need to reference something said 15 minutes ago without interrupting, or where a late arrival needs to silently read what they missed, live captions change how the meeting functions.
OtterPilot 3.0 added Visual Context. When someone shares a slide deck or whiteboard, Otter captures a screenshot and inserts it into the transcript at the exact timestamp it was discussed. The transcript becomes a multimedia record of the meeting, not just text. For presentations and training sessions, this visual context makes the notes significantly more useful when reviewed later.
Cross-Meeting Intelligence (CMI) lets you query your entire meeting library. Ask “what was the consensus on Q3 budget across all marketing meetings this month” and get an aggregated answer spanning multiple calls. AI Chat handles single-meeting queries. The combination gives you both depth on individual calls and breadth across your history.
Post-meeting, Otter generates structured summaries, action items with owners, and follow-up emails. OtterPilot can post summaries directly to Slack channels.
The platform is the most cross-device option available: Mac, Windows, iOS, Android, and web. Mobile recording captures in-person conversations, interviews, and lectures, a capability Fathom, Fireflies, and Grain only partially match.
The OtterPilot bot is visible. “Otter is recording” appears to all participants. For internal meetings, that’s standard. For external calls with clients who haven’t opted in, it can be awkward.
