Zapier is a no-code automation platform that connects more than 9,000 apps. Its workflows, called Zaps, pass information between those apps whenever a chosen event occurs.

Zapier’s biggest strength is still setup speed. You can describe a workflow in plain English and let Copilot prepare the first version. Ask it to collect a new enquiry, summarize the message, save the contact, and notify the sales team. It will suggest the trigger, actions, and field mappings.
That removes the blank page. It does not remove configuration. Copilot can build the skeleton, but you still need to connect the correct accounts and inspect each mapped field. A workflow can look complete while sending a customer name into the company field. Conditional paths also need more attention because one incorrect rule can silently send records down the wrong branch.
AI by Zapier adds reasoning inside the workflow. A step can extract details from an email, classify a request, or choose an action. This works best when the job is narrow. “Extract the invoice number and due date” is easier to control than “understand this request and decide what the business should do.”
Each run only knows the information passed into that step. It does not remember what happened during earlier runs unless that history is deliberately stored and retrieved. Reliable AI workflows therefore need clear instructions and clean input data. A vague prompt produces inconsistent automation at machine speed.
The task model is the main drawback. Standard AI processing costs one task per run. Advanced processing costs three. Premium processing costs five. Tool calls use the same multiplier. An Advanced AI step that reasons once and calls two tools can consume nine tasks before any normal app actions run.
Zapier MCP adds another route into the same app ecosystem. It lets an external AI assistant perform approved actions through connected Zapier accounts. Each successful tool call costs two tasks. This is useful when you want an assistant to create records or send updates without opening the Zap editor. It also gives an unpredictable conversation access to a metered task balance.
Zapier now places agentic work inside AI by Zapier rather than treating agents as a separate destination. This makes the workflow easier to inspect. It also makes task planning more important. AI automation is valuable here, but only when someone understands the cost of every branch and tool call.
