"Microsoft Copilot makes the most sense when the job ends in Word, Excel, PowerPoint, or Outlook. It can work inside the file instead of merely explaining what to change. The confusing part is identity. Free Copilot, personal Microsoft 365 Copilot, and workplace Copilot do not share the same data access or allowances, even though the branding makes them look interchangeable."

Overview

Microsoft Copilot is an AI assistant available on the web, in Edge, in Windows, and inside Microsoft 365 applications. Depending on the account and plan, it can answer questions, search the web, create images, edit Office files, conduct research, and run specialized agents.

The free tier deserves genuine credit. GPT-4o-powered conversations, Bing web search with cited sources, DALL-E image generation, and basic file analysis, all at no cost, no account required. For casual questions, quick research, and image generation, it’s a strong entry point that most people overlook because of the branding confusion.

The naming situation is genuinely confusing and worth addressing. “Microsoft Copilot” refers to the free/Pro consumer chatbot. “Microsoft 365 Copilot” is the enterprise product embedded in Office apps at $30/user/mo on top of your existing M365 license. These are different products with different capabilities and different pricing, but they share a name, and Microsoft’s marketing doesn’t make the distinction clear.

Inside Office apps is where the value appears for paid users. Copilot in Word drafts and rewrites documents using your existing content. In Excel, it generates formulas, creates charts, and analyzes data from natural language. In Outlook, it summarizes email threads and drafts responses based on conversation context. In PowerPoint, it generates slide decks from documents or prompts. For someone who spends 6+ hours a day in Microsoft 365, these features eliminate real friction.

The standalone chatbot is where Copilot struggles. At $20/mo, Pro gives you priority GPT-4o access, image generation, and Office integration. ChatGPT Plus at the same price gives you GPT-5, voice mode, code execution, deep research, and a broader plugin ecosystem. Feature for feature, Copilot Pro loses that comparison. The only reason to choose it over ChatGPT is if the Office integration is what you’re paying for.

"Copilot is Microsoft's answer to ChatGPT. It's a good answer if you live in Microsoft's ecosystem. It's the wrong answer if you don't."

Pros Cons
+ Free tier offers GPT-4o, web search, image generation, and cited sources at no cost – Pro at $20/mo offers significantly fewer features than ChatGPT Plus at the same price
+ Office integration in Word, Excel, Outlook, and PowerPoint genuinely saves time – Enterprise pricing stacks on top of existing M365 licenses, not standalone
+ Pre-installed in Windows 11 and Edge, zero friction to start using – Naming confusion between consumer Copilot and enterprise M365 Copilot causes buyer mistakes
+ Enterprise version grounds responses in organizational data for business relevance – Standalone chatbot experience is weaker than dedicated AI assistants

Who would we recommend it to?

  • Heavy Microsoft 365 users who want AI embedded inside Word, Excel, and Outlook
  • Casual users looking for a free AI assistant with web search and image generation
  • Enterprise teams already on M365 E3/E5 who want AI grounded in company data
  • Windows users who want quick AI access from the taskbar or Edge sidebar

Skip it if:

  • You're comparing Pro to ChatGPT Plus purely on features, ChatGPT wins
  • You work in Google Workspace or don't use Microsoft apps daily
  • You need voice mode, code execution, or deep research at the $20/mo tier
  • You want transparent pricing without license stacking and naming confusion
