Most task managers tell you what needs doing. Motion tries to decide when you should do it. Each task receives a duration, deadline, priority, and available work schedule. Motion then finds open calendar time and places the task there.
The schedule is not fixed. Add a meeting and Motion recalculates the day. Miss a task and it moves to another available slot. Long tasks can be divided into smaller chunks when the calendar does not contain one large opening.
This is the product’s real value. A four-hour report does not remain buried in a list until the deadline. Motion can spread it across several work sessions and show the estimated completion time. If there is not enough space, it flags the conflict rather than pretending the plan still works.
That only works when the task details are credible. Motion cannot estimate your workload for you. A task without a duration cannot be scheduled. A task without a deadline or priority may also remain outside the plan. If a two-hour job is entered as 30 minutes, every later decision is built on the wrong assumption.
This creates a data-entry cost. New users must define working hours, connect calendars, set priorities, and estimate durations. Recurring work needs sensible rules. The setup feels demanding because Motion is asking questions that ordinary task lists let you avoid.
The schedule can also become restless. New meetings and higher-priority work can push lower-priority tasks several times. That is useful when the changes reflect reality. It is frustrating when you wanted a task to stay at a chosen time. Auto-scheduling can be paused for individual tasks, but the product works best when you are willing to let it rearrange the day.
Motion now includes broader project management, meeting notes, documents, dashboards, and AI chat. These additions are useful when they feed the scheduling engine. A meeting action item can become a task and immediately receive calendar time. The project views are less important than that connection.
The pricing model has changed as the platform has expanded. There is no permanent free plan. Pro AI includes 7,500 credits per seat each month. Business AI doubles that allowance and adds capacity planning, reporting, permissions, and time tracking. This makes Motion easier to justify for someone who will trust the scheduler every day. It is expensive for someone who only wants a cleaner task list.
